OUR USE OF PERSONAL INFORMATION RELATING TO YOU
In order to provide our clients with notarial, legalisation, and other associated legal services, we handle information pertaining to them. We do this in order to fulfil contracts made with clients who need notarial and associated services and to use your information in accordance with legal requirements. Names, passport numbers, contact information, and any other personal information about you that you may submit are just a few examples of the kinds of information we deal with.
We handle data pertaining to potential clients in order to sign them up as clients. We carry out these procedures in order to fulfil pre-contractual requirements, “know your client” requirements, and anti-money laundering requirements. We may handle with information such as names, passport numbers, contact information, and any other personal information you may disclose about yourself.
For personnel administration reasons, we handle information pertaining to our employees. We employ them on the basis of what we do. We may handle information such as names, passport numbers, contact information, and other facts pertaining to your job with us.
HOW LONG WE KEEP INFORMATION RELATING TO YOU
According to our retention policy, we maintain information about you for as long as it is required to achieve the goals for which it was obtained. We take into account our business needs and the services we offer, best practises, the legal bases for our processing, and any statutory, legal, or regulatory restrictions we are subject to, including, among other things, the Notaries Practise Rules 2014 (as modified).
As outlined below, you may be entitled to various protections under data protection regulations with regard to LM Notary Public’s possession of information about you.
You have the right to:
1. Make a “data subject access request” (also known as a request for access to your personal information). This gives you the opportunity to request a copy of the personal data we currently have on file about you and confirm its accuracy.
2. Make a correction request for the personal data we have on you. This gives you the opportunity to change any incomplete or erroneous data we may have about you, albeit we may need to confirm the veracity of any updated information you offer.
3. Request the removal of your personal data. When there is no justification for us to continue processing personal information, you can request that we delete it or remove it. Additionally, you have the right to request that we delete or otherwise take away your personal information in cases where you have successfully exercised your right to object to processing (see below), where we may have processed your information improperly, or where we are required to do so by local law.
However, keep in mind that there are some instances where we may not be able to honour your request for erasure due to specific legal requirements. If this is the case, we will let you know at the time of your request.
4. You have the right to object to the processing of your personal data if we are relying on a legitimate interest (our own or that of a third party) and there is something about your situation that makes you want to object to the processing on this ground because you feel it affects your fundamental rights and freedoms. In cases where we are using your personal information for direct marketing, you also have the right to object. In some circumstances, we may be able to show that our legitimate processing needs outweigh your rights and freedoms.
5. Request a restriction on how your personal information is processed. This gives you the option to request that we halt processing your personal data in the following circumstances: (a) if you want us to confirm the data’s accuracy; (b) if our use of the data is illegal but you do not want us to delete it; (c) if you need us to keep the data even if we no longer need it because you need it to establish, exercise, or defend legal claims; or (d) if you object to our use of the data but we need to determine whether we

Your personal information will be given to you, or a specified third party, in a structured, widely accepted, machine-readable manner. Keep in mind that this privilege only applies to automated information that we utilised with your prior consent or to carry out a contract with you.
7. You may revoke your consent at any moment when we are using it to handle your personal data. However, the processing that was done before you withdrew your consent will still be legal. If you refuse, we might not be able to continue offering you some services. If this is the case, we will let you know when you withdraw your consent.

You won’t be charged anything to access your personal data or use any of your other rights. However, if your request is obviously baseless, repeated, or excessive, we may impose a fair price; alternatively, in certain situations, we may decline to accede to your request.
